Minutes of Regular Club Meeting
April 9, 2001

Attending: Bob Fadock, Mark Harvey, D. Paradine,Bob McCron, Sharon Cuddy, Dave Hayman, Peter Uhlig, Ken Lomas, C. Rosso, A. Hopkin, D. Patterson

1. Call to order at 7:15PM.

2. Review and approval of minutes of last meeting. Motion to accept D. Patterson, Seconded by B. Fadock. Passed.

3. Business arising from minutes of last meeting.

OFSA Bob Fadock reported that a minimum of three high schools must apply for SSM to be considered for a cross country event. Bob Fadock to aproach Algoma Central School board

4. Reports by Executive and Activity Chairs.

PRESIDENT - Trillium funding has been received in the amount of $55,000 over three years. (25K yr 1, 15K 2nd and 3rd years).

Money to be allocated for purchase of a snowmobile and groomer, 3.5K for club house renovations, the remainder to be program related.

The president will require input from various club activities e.g., jack rabbits, race team, challenge to assist in a plan for proper use of the funds as they relate to club programs and activities.

Committees to be struck to establish use of Trillium funds within the framework established by the proposal.

Motion:

Committees are to be established by SFNSC to consult with club members to coordinate the use of Trillium grant funds. The committee will consist of members representing the following groups:

Treasurer

Race team

Youth program

Trails and grounds.

This committee to be in effect for a three year period. All recommendations must be approved by the club executive. Accounting practices and documentation to be consistent with Trillium Foundation requirements.

NOD annual meeting

Peter reported that the X-country Canada meeting was coming up in next few months.

Dee Paterson noted the need to formulate bids for races for 2002.

Paul Barbeau suggested moving the Hiawatha invitational to February during Bob Soo week.

VP/STAR -

Bob Fadock reported that STAR revenues were up $13,000 and expenses down $4,000 from the previous year.

Total day pass sales 1,668

Dean Greenwood is pursuing a Trillium grant for a ski school to be operated during week days. There was some question as to whether this would undermine the position of SFNSC, the club being the exclusive provider of instruction under the operating agreement.

The issue was deferred.

STAR operating agreement:

Kinsmen have announced their intention to withdraw from the STAR operating agreement.

Bob Fadock to monitor this situation.

Questions arose as to whether the SFNSC should prepare a contingency plan if Kinsman does withdraw.

Treasurer:

Some race team expenses have not yet been included in the 2000/01 budget.

Bob Fadock recommends that the race team needs to establish a race team budget for next year with the knowledge of this years costs.

Commercial sponsorship has not yet been received from Regal Capital Planners, D. Patterson to follow-up.

MEMBERSHIP/MEDIA AND PROMOTIONS

JACKRABBIT AND CHALLENGE

Coffee mugs for coaches have been received and will be distributed at the banquet.

To date 195 tickets sold, final date April 17.

Fund-raising/Sponsorship

Race Team

Mark Harvey provided a review of the race team budget for 2000/01. The team was on budget prior to the race at Val Cartier. However, Mark noted that a number of outstanding expenses exist from that event.

Peter reported that Mike Keatings costs to be covered by NOD and Cross country Ontario (CCO). Seven hundred in van costs to be recovered from CCO.

Some costs including the van rental to be covered for M. Koskenoja.

Soo Finish Nordic Ski Club pay accomodation and meals, van rental and gas costs incurred at Junior Nationals in Val Cartier for M. Kostenoja.

Paul Barbeu to submit receipts for gas

Dave Hayman requested that the SFNSC pay entry fees for out of province races.

The club has agreed to pay the entry fees for club racers attending out-of-province events.

A race team committee to be established to determine future policy for fees and eligible expenses.

Bob McRon to organize a garage sale for the ski team.
